1. Booking & Appointments
- Bookings are only confirmed upon written acceptance by Heating Pro Limited (via email, SMS, or call).
- Emergency call-outs are subject to engineer availability and may incur additional charges.
- We reserve the right to reschedule appointments due to unforeseen circumstances beyond our control.
2. Access & Site Conditions
- The client must provide safe, clear, and timely access to the property at the agreed appointment time.
- Failure to provide access may result in a missed appointment or waiting time charge.
- Any parking fees, permits, congestion charges, or access-related costs will be added to the final invoice unless agreed otherwise.
- Clients must inform us in advance of any known site risks (e.g. asbestos, restricted access, system faults).
3. Quotations & Pricing
- Quotations are valid for 7 days from the date of issue unless stated otherwise.
- Any additional work or materials outside the agreed scope will be discussed and approved before proceeding.
- We are not VAT registered; therefore, VAT is not charged.
4. Payment Terms
- A 50% upfront payment is required upon acceptance of the quotation, prior to commencement of work.
- The remaining balance is due upon completion unless otherwise agreed in writing.
- Payments can be made via bank transfer or cash.
- Invoices unpaid after 14 days may incur interest at 8% above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
- We reserve the right to withhold certification, commissioning records, or documentation until full payment is received.
- All materials and goods supplied remain the property of Heating Pro Limited until paid for in full.
5. Cancellations
- Cancellations must be made at least 24 hours before the scheduled appointment.
- Cancellations within 24 hours, or failure to attend, may result in a charge of up to £80 to cover lost time and travel.
6. Parts, Materials & Warranties
- All parts supplied are covered by the manufacturer's warranty, subject to their terms.
- Our workmanship is guaranteed for 12 months from the completion date, unless stated otherwise in writing.
- Warranty does not cover faults caused by misuse, third-party interference, lack of maintenance, or existing system conditions.
- We do not guarantee the suitability or performance of customer-supplied materials and accept no liability for faults arising from their use.
7. Existing Systems & Work Risks
- We are not responsible for pre-existing faults that become apparent during or after work is carried out.
- Where work involves draining or modifying systems, we are not liable for issues arising from sludge, debris, corrosion, or underlying system weaknesses.
8. Delays & Force Majeure
- We are not liable for delays caused by factors beyond our control, including supplier delays, part availability, weather, or access issues.
- We shall not be held liable for failure or delay due to events outside our reasonable control.
9. Liability
- We are not liable for any indirect or consequential loss or damage.
- Our total liability for any claim shall not exceed the total amount paid for the work carried out.
10. Gas Safe Compliance & Certification
- All gas work is carried out by Gas Safe registered engineers in accordance with UK regulations.
- Gas Safety Certificates (CP12), installation certificates, commissioning records, and Building Regulations compliance notifications (where applicable) will only be issued following successful completion of work, testing, and full payment.
- It is the client's responsibility to ensure accurate property and contact details are provided for the purpose of Building Regulations notification.
- We are not liable for delays in certification or notification caused by incorrect information provided by the client or third parties.
11. Waste Removal
- Removal and disposal of old appliances or waste materials is not included unless agreed in advance.
- Additional charges may apply for waste removal services.
12. Records, Photography & Marketing Use
- We may take photographs of work carried out for the purposes of record-keeping, compliance, warranty support, and service history.
- These images form part of our job documentation and may be stored securely within our systems.
- We may also use photographs of completed work for marketing purposes, including but not limited to our website, social media, Google Business Profile, and other advertising platforms.
Where images are used for marketing, we will ensure that:
- No personal data is included, or
- The property and occupants are not reasonably identifiable, or
- Explicit consent has been obtained from the client where identification may be possible.
Clients may request in writing that their property images are not used for marketing purposes at any time.
13. Complaints & Disputes
- We aim to resolve any issues promptly and professionally.
- Any complaints must be submitted in writing within 7 days of work completion.
14. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
Client Declaration
By accepting a quotation, ticking a box, or submitting a booking, you confirm that:
- You have read and understood these Terms & Conditions; and
- You agree to be bound by them in relation to the services provided by Heating Pro Limited.
